Email Quota and Purging Policy

Electronic Mail Quotas

As a user of the JCU Email system you should be aware of the quotas imposed. Quotas are set at:
250MB for staff
100MB for students

These quotas are set in the interests of all users of the JCU Email system.

Please note that the quota is related to your aggregate use of Email including your Inbox, Junk Mail, Trash and other stored folders on the central server. It does not apply to Email stored on your workstation, where the "Leave Mail on Server" option has NOT been selected; see Email Client documentation.

Electronic Mail Purging

Disk space on the central mail servers is a finite resource. Email messages on the central systems that remain in users Inbox, Junk Mail and Trash folders use valuable disk space. This has the potential to adversely affect the ability of other users to do reasonable work.

While many users of the systems are diligent about their use of electronic mail, there are others who have not cleared messages from their Inbox, Junk Mail or Trash folders for quite some time.

We cannot afford to carry this excess baggage as it affects those attempting to make intelligent and productive use of e-mail.

Should it be necessary to address the problem, ITR reserves the right to purge electronic mail in accordance with policy as follows:
Inbox: purge messages > 3 months old
Trash: purge messages > 7 days old
Junk Mail: purge all messages

Thus, if you leave messages in your Inbox, Junk Mail or Trash rather than deal with them, that is either dispose of them or store them in your own folders, they may be automatically purged.

Please note that this purging will NOT affect mail in your other folders; only mail in your Inbox, Junk Mail or Trash folders. Also it will NOT affect mail stored on other systems, such as user workstations where the "Leave Mail on Server" option has NOT been selected.
